In the past weeks I have introduced 8 different formats that can help you reinforce content at your events. From World Café to Silent Brainstorming Walls, Human Spectrums to Peer-to-Peer Teaching Sessions, Role-Playing Scenarios to Idea Hackathons, and from Learning Journeys to Fishbowl Discussions, each has their pros and cons. Some help audience members get a better understanding of the event content while others help promote collaboration. Which one works best for your event? Well, that depends on a lot of factors including why you are holding the event, what the subject matter is, who is coming, etc.
To help you make an informed decision, I have created this workbook. It's designed to guide you through the process of selecting the most appropriate content delivery method(s) for your specific event. Here's how to use this workbook effectively:
1. Begin by completing the Event Profile section. This will help you clarify your event's objectives, audience characteristics, and available resources.
2. Review the overview of each content delivery method. Familiarize yourself with their setups, processes, and key benefits. Before we dive into selecting speakers or planning sessions, we need to get crystal clear on what we're trying to achieve. I always start by asking myself:
What's the primary goal of this event?
Are we here to educate, network, launch a product, or build team spirit?
And who are the key players counting on this event's success?
It's crucial to understand what success looks like to your sponsors, leadership team, and participants. Trust me, taking the time to clarify these points upfront will save you headaches down the road. And let's not forget about the budget - knowing your financial limitations for content-related activities is key to making smart decisions about speakers, materials, and activities.
Tailoring to Your Event's Unique Flavor
Every event has its own personality, doesn't it? Whether you're planning an in-person gathering, a virtual meetup, or a hybrid experience, your content needs to fit the format. I've found that virtual events often need more engaging digital content to keep people glued to their screens, while in-person events give us the chance to get hands-on and interactive.
Don't forget to consider your event's overall theme or central message. Everything - from keynote speeches to breakout sessions - should tie back to this theme. It's what gives your event that cohesive feel that attendees love.

I always take time to consider the demographics of my attendees - their age, profession, interests, and cultural background. It's also crucial to gauge their knowledge level on the event topic. There's nothing worse than boring experts with basic info or overwhelming newbies with advanced concepts.
And hey, remember that not everyone learns the same way. Some folks love interactive workshops, while others prefer to sit back and soak in a great keynote speech. Think about the immersive experiences that I talked about in the Breaking the Cost Spiral series. Mix it up to keep everyone engaged!

Now that we know our goals and audience, it's time to focus on delivery. I'm a big fan of variety - mixing up presentations, workshops, panels, and interactive sessions. It keeps things interesting and caters to different learning styles.

Make sure your room setup, AV equipment, and online platforms (for virtual or hybrid events) are on point. We want our content to be accessible to everyone, right?
