Once upon a time, marketing an event meant advertising in trade magazines, buying mailing lists and mailing thousands or announcement postcards, brochures. Registration meant receiving often illegible registration forms by mail, accompanied by cheques and bank drafts. How things have changed!

As an event producer, I’ve seen firsthand how social media has transformed the landscape of event marketing. Your information goes out far and wide, extending far beyond your usual audience, or those on your mailing list. It’s no longer about sending out invitations and hoping for the best; today, social media is a critical tool for promoting events, engaging with audiences, and extending the event experience beyond the actual event.

Whether you're planning a corporate conference, a music festival, or a charity fundraiser, integrating social media into your strategy is no longer optional—it’s essential.

From influencer partnerships to live streaming and user-generated content, social media provides an array of opportunities to boost attendance, create buzz, and foster a sense of community around your event. In this article, I’ll share key insights and actionable strategies to help you maximize your event’s impact in the digital space.

Leveraging Influencer Partnerships

One of the most effective strategies I’ve come across is partnering with influencers. These individuals have built engaged audiences who trust their recommendations. When an influencer promotes an event, it lends credibility and expands the reach far beyond traditional marketing efforts.

A notable example of an event that effectively used influencers to promote itself is Revolve's Coachella events. Revolve, a popular online fashion retailer, partnered with fashion influencer Aimee Song to attend exclusive events at Coachella. Aimee posted about her experiences, highlighting Revolve's latest collection in glamorous, festival-inspired outfits. This approach turned influencer marketing into an experiential event, making Revolve's clothes a central part of a glamorous lifestyle that resonated with attendees and followers online.

How to Identify the Right Influencers

Not all influencers are created equal, and choosing the right ones is critical to the success of your campaign. Here’s what to consider:

  • Relevance: Ensure the influencer’s niche aligns with your event’s theme.

  • Engagement Rates: Look beyond follower count—high engagement (likes, shares, and comments) indicates an active, interested audience.

  • Authenticity: The best influencers promote products and events they truly believe in, rather than simply taking sponsorships for the sake of it.

Effective Ways to Collaborate with Influencers

Once you’ve identified the right influencers, there are multiple ways to involve them in your event marketing:

  • Social Media Takeovers: Allow influencers to run your event’s Instagram Stories or Twitter feed for a day.

  • Exclusive Previews: Give influencers early access to event details so they can share exclusive content with their audience.

  • Giveaways & Contests: Encourage influencers to host contests that offer free tickets or VIP access to boost engagement and excitement.

Utilizing Live Streaming for Real-Time Engagement

Another powerful tool in our social media arsenal is live streaming. This approach allows us to engage with a broader audience, connecting with those who can’t attend in person while enhancing the experience for those on-site.

For example, the 2020 Virtual Cannes Lions Festival which was almost cancelled due to Covid-19 effectively used platforms like YouTube and Facebook Live to stream keynotes and panel discussions, thus saving the event. Not only did this expand their reach, but it also facilitated interactive Q&A sessions, enhancing attendee engagement and making viewers feel like they were part of the event, even from afar.

Steps to a Successful Live Stream

To make the most of live streaming, consider the following:

  1. Invest in High-Quality Equipment: A poor video or audio experience can turn viewers away. Ensure you have a stable internet connection and high-resolution streaming capabilities.

  2. Promote Your Live Sessions in Advance: Build anticipation by announcing your live streams ahead of time and sharing sneak peeks of what’s to come.

  3. Engage with Viewers in Real Time: Assign a team member to monitor comments, respond to questions, and facilitate conversations.

  4. Repurpose Live Content: After the event, edit and share highlights on social media to keep the conversation going.

Encouraging User-Generated Content (UGC)

User-generated content (UGC) is one of the most organic and effective ways to create buzz around an event. When attendees share their own photos, videos, and experiences, it not only builds credibility but also fosters a sense of community.

Take Lollapalooza, for example. The popular music festival encourages participants to share content using a specific hashtag. This not only generates excitement but also creates a wealth of authentic promotional material that showcases the festival experience from an attendee’s perspective.

How to Encourage UGC

  1. Create a Unique Event Hashtag: Make it short, catchy, and easy to remember. Promote it before, during, and after the event.

  2. Offer Incentives: Encourage attendees to post content by running contests or featuring top posts on your official social media accounts.

  3.  Set Up Interactive Photo Ops: Design visually appealing spaces at your event to encourage attendees to take and share pictures.

  4. Feature Attendee Content: Repost user-generated content on your official social media pages to create a sense of participation and community.

Social media has become an invaluable asset in our event marketing toolkit. By leveraging influencer partnerships, utilizing live streaming, and encouraging user-generated content, we can enhance our marketing efforts, increase attendance, and foster a vibrant community around our events.

The key is to remain adaptable, experiment with different approaches, and stay engaged with your community before, during, and after your event.
