I have in my career organized events with various different lengths of advance notice. The longest lead time was 2 years, the shortest, 48 hours. And yet as a planner or producer, our job is to make the event ‘look’ effortless, even when we are scrambling back stage putting out fires.

Panic? Not if you’re practicing proactive communication. By fostering trust and strong relationships with your contacts, you’ll get the early warnings you need to adapt. From my years of experience, I’ve seen how aligning stakeholders early can turn potential disasters into minor hiccups.

While we would never advocate for 48-hour turnarounds as standard practice (it’s frankly not healthy, not for you, your team, or your vendors), the reality of our industry sometimes presents us with impossible-to-refuse requests from valued clients. Perhaps it's a long-standing corporate client facing a crisis, or a regular customer with an unexpected opportunity. In these rare but real situations, having a team you trust implicitly – one that trusts you in return – can make the impossible possible. Your collective experience, established communication patterns, and shared understanding become your secret weapon in pulling off these high-pressure situations.
